Printable version of Terms and Conditions for Society / Corporate Golf Days

Thank you for enquiring about a society booking at Denham.

We are extremely fortunate that the vast majority of societies come year after year, with the consequence that our available dates are usually quite limited.  We take societies on Tuesdays and Thursdays off both 1st and 10th tees, and on Wednesdays we will take societies off one tee.  Societies of 36 or more would need both tees.

If you have not been to Denham before there is a treat in store.  The course remains faithful to the original H.S.Colt design from 1910 and the condition and presentation of the course have benefited from the recent large investment in state of the art full irrigation and first rate plant and equipment.  The clubhouse is built around a medieval farm building conversion and boasts a friendly atmosphere found only in a private members club.  The catering reputation is widely recognised as being of the highest standard whilst the staff pride themselves on providing an excellent service.

The Office will be pleased to assist in planning your day to meet your requirements, feel free to make contact by telephone, fax or e-mail.Our e-mail address is : olga@denhamgolfclub.co.uk

1.         Bookings. Society and Function bookings will be considered on written request but Denham Golf Club reserves the right to refuse bookings from any Society or Company and shall not be bound to give any reason.

2.       Denham is not a Golf Club for beginners and members of your society who do not have an official handicap or cannot play to a competent standard will spoil the golf for others in your party.  All players are expected to observe the normal etiquette of golf.

3.     Confirmation..   The Organiser MUST confirm to the Club precise numbers not later than seven days prior to the date of the meeting.  The Club cannot guarantee to accommodate more players than originally booked but will always endeavour to accept slight increases if possible.  The names of visitors and the starting sheet indicating format of play should be attached to the confirmation.

4.       Slow Play.   Rounds over four hours before lunch are unacceptable at Denham and it is the Organisers responsibility to choose formats that encourage continuous play.  Four ball medals and Texas scrambles are not permitted.  Yellow tee reservation times and format MUST be confirmed with the Office not later than seven days prior to the date of the meeting.       For guidance see the attached note on format of play.

5.       Club Rules.   A good standard of behaviour and dress is to be maintained at all times but for your guidance please ensure that your society members and visitors wear jackets, shirts and ties in the Dining Room and Lounge Bar at all times.  On the course golf shoes, shirts with collars and trousers or tailored shorts with long socks with turned over tops must be worn.  Mobile phones are prohibited in the Club House or anywhere on the course.  By prior arrangement, when a snack lunch is agreed in the Lounge informal dress may be permitted. Please note that there is no smoking in the Dining room.

6.       Security and Liability.   Security lockers are provided in the Changing Room and visitors should be aware that thefts do occur.  The Club shall not be held responsible for physical harm caused to any person using the Club nor for the loss or damage to their property.

7.       Catering and Functions.  Please advise your members that the Clubhouse does not open until 8.00 a.m. unless special arrangements have been agreed in advance.  The Club closes normally at 8.00 p.m. (6.00 p.m. during winter) unless an evening meal has been arranged.  Society catering normally includes a carvery lunch but particular requirements can be accommodated by prior arrangements (see attached Final Confirmation form).

Anticipated numbers need to be indicated on the Booking Form and the final numbers confirmed at least SEVEN days in advance using the Final Confirmation Form.   We reserve the right to require a deposit in respect of Functions and any special arrangements, which may involve additional costs to the Club.   The organiser should liase with the House Manager on arrival and confirm times of dining and any last minute requests for variation.

8.      Payment.   All charges are to be settled by the end of the day unless credit arrangements have been agreed with the Secretary in advance.  The numbers finally confirmed will be the minimum for which you will be charged but an adjustment at the Club's discretion to the Green Fee may be allowed for those playing only one round. (NOT during the Winter period).

9.      Size of Society.    To permit Club members access to the course Tee Reservations will depend on the size of the society: -

(a)      32 Players or less will usually only be allowed tee reservations at one starting point and may not have exclusive use of the Dining Room and Lounge Bar.  Where possible we shall endeavour to segregate two societies in an acceptable manner.  The minimum charge for a society booking will be based on 16 players.

(b)      Bookings for more than 32 players will be granted sole use of the Lounge Bar but will need to pay a non-refundable booking fee in return for securing the facilities.  When numbers are confirmed the society will be allocated tee reservations at two starting points and it is essential that these are strictly adhered to.

10.         Courtesy.

Members of the PGA, Association of Golf Club Secretaries and BIGGA Course Managers may be offered courtesy of the course by agreement with the Secretary in advance but this is limited to one player per society.

11.       Halfway House

There is a fully fitted catering facility beside the first and tenth tees and if required this will be manned to serve refreshments to visitors.  There is a standing charge for this service and organisers should indicate their requirements on the Booking Forms.

Our Professional Stuart Campbell (Tel: 01895 832801) has a well-stocked shop and offers generous discounts to societies for their prizes.  The Organiser is asked to check with the Professional on arrival to be advised of any course work or local rules that may pertain.
